For the next few weeks, we’ll be featuring weekly Top Producer 8i Tips that’ll show you how to save time in front of your computer and help you quickly navigate around the program like an expert. Top Producer 8i allows you to view a client’s historical activities and then generate a historical report – both of which are useful in follow-up communications, as well as understanding if the client requires additional information, what neighborhood they are interested in, and their general level of interest. The flow below only looks at one contact record, however, you can also view and generate reports for multiple records from the Search feature within 8i.

  1. Sign into Top Producer 8i.
  2. On the right-side of the Home screen, search for a contact record.
  3. Click the arrow adjacent to the contact’s name to expand their details.
  4. Click the “View Contact” link. The contact record will open.
  5. Click the Activities tab – which, by default, shows you all of your outstanding activities.

  1. In the upper right corner of the Activities list, change the filter from ‘Show: Incomplete’ to ‘Show: Complete’.  All of the activities any team member has performed for this client will be listed.

  1. From the Contact Header at the top of the record, click the print icon.
  2. Select “Contact History Report” and the historical items, in addition to all contact notes will be generated in a report.

Real Estate Marketing with Transparency

There are many tragedies associated with the recent mortgage meltdown triggered from the sub prime mortgages. For far too many homebuyers, there was the lack of understanding on how the loan was structured, how the escalating payments work and so on. The trickle down consequences as the industries collide will also demand a high level of transparency from the Realtor as is being asked of the mortgage industry going forward. The difference is that the lender can clearly lay out the future; reset dates at this interest rate equals this amount per month etc. The Realtor however cannot predict the future…that said, he or she can and should provide a state of the union – where we are today!

The Market Snapshot is absolutely the best product to deal with this and help cure the past customer retention crisis that has plagued the real estate industry for years. In case you were not aware, in recent surveys provided by N.A.R., approximately 30% of buyers use the same agent again despite 80% saying they were happy with and would in fact use the same Realtor again! The primary reason for such a disconnect is ineffective and or infrequent follow up. In order to feed off the theory of obligation, you must send something monthly and it must be personalized and I don’t mean just the salutation!

How important is real estate technology integration?

I was speaking with a real estate agent this morning and we got to talking about integrating other services she currently uses with Top Producer 8i. It is true that Top Producer 8i does integrate with a lot of the top products in the industry that real estate agents use on a regular basis.  

The truth is, it’s simply not possible to have everything integrated with Top Producer 8i as there are so many different products out there. With that in mind, you will need to ask yourself which are the most important tools you would expect to integrate with a CRM like Top Producer 8i?

Having fully integrated tools is huge benefit to any real estate agent. Not only are you going to be cutting out tedious manual tasks, you are going to become “AUTOMATED”. Now, what does automated mean? Let’s see what Wikipedia has to say.

Why you should allow consumers to search for homes on your website.

There are stats floating around on the internet that 80%+ home buyers use the internet to begin there home search before contacting a realtor. Isn’t that reason enough why you should be offering homes search options on your website? (Or do you want more).

Home Search tools (IDX) are one the best tools you have at your disposal and one of the highest converting lead generating tools available to you. If you have a website that does not offer a home search (In some cases you will not be able to help this as your MLS may not offer a solution or there is no 3rd party option available) what do you think is happening to your traffic? Most likely the consumers are hitting the back button in there browser and going to the next website down in search results, until they find a real estate agents website that offers what they are looking for. The ability to search for homes. Remember you do not want to drive people away from your site but rather offer more to keep them there.

What is IDX

Acronym for Internet Data Exchange. IDX references the transfer of MLS data, from the MLS Board to a real estate agents website(s).

Traditional Usage 

  • By framing your local MLS into your personal website allows consumers to have access to local inventory courtesy of you.
  • All inventory, whether the listings belong to the Realtor or not are branded to the proving Realtor: To view more details click here.
  • Acts as a lead generator by providing a sign up form for new listing alerts, as well as a variety of different options like Schedule a appointment or request more information about a listing.

Outside The Box UsageAfter you have sold someone a home, you should consider:

  • Set up the homeowner on property alerts for homes that come up for sale in their subdivision or surrounding areas that are apples to apples comparisons – just to keep abreast of their values.
  • Set past clients up on alerts for areas of interest for the next move.
  • Possible investment purchase; given the current state of declining regions, capitalizing on misfortune and creating investment opportunities for those with money!

Back to Basics – Building a Book of Business with Top Producer 8i

Amazingly, many agents and long standing successful agents I might add that I meet do not have an organized book of business.  What’s more amazing is all the business lost by not adding folks we meet into our data base, identifying them accordingly through the use of multiple and customizable contact types and applying a follow system which we refer to as Action Plans.  Consider in the recent past where someone has called off a sign that had an accepted offer and you ended up tossing the name scribbled on a napkin of piece of paper that was close by because you were already too busy to pursue them.  Now that the market has changed and things have slowed down, perhaps now is the time to prepare for tomorrow! 

Have you ever wondered how the Top Producing Realtors in your local market get to where they are?  They are not necessarily better looking?  They don’t appear to work any harder than you?  Some of them are kind of cranky too..!

What about the wiper snappers who come into the business and seemingly out of no where gain mega agent status in a relatively short period of time!  I’ll bet that the one thing they all have in common is a systematic approach to their business that allows them to work smarter and not necessarily harder.  How do you eat an elephant?  One bite at at time, so hear is how Top Producer can help!

  1. Every person you encounter, enter them into your Top Producer data base with the following information; names, address, contact numbers, email addresses property type with number of bedrooms and bathrooms and the area they live in. Web leads populate that same data courtesy of the online consumer )
  2. Prospect daily in order to add 3 warm leads per day; an expired listing, a FSBO, someone you met at an open, a floor call, sign call etc. – Everyone can find 3!
  3. Calculate the number of days you want to work per year and multiply that by 3.  So, if you only want to work 5 days a week and take the entire summer off, you will essentially work 265 days per year and will add 795 opportunities to your data base this time next year!
  4. What if only 5% of those opportunities decide to buy or sell in the next 12 months?  That would still amount to 40 transactions!

Real Life Scenario using Top Producer’s specific Action Plans.  Let’s take a look at one of the letters that is incorporated into a specific Action Plan to demonstrate the power and sincerity of the personalized follow up:

  • Hover your mouse over the Contact Icon.
  • From the drop down list, select Search for Contacts.
  • Click the Contact Type drop down menu and choose one or more contacts.
  • Here is where Top Producer’s power comes in; I may have Joe Sample identified as a FSBO (that is what he is currently), a SELLER (because he is that also – just not with me…yet!) LISTING PROSPECT and so on.  Why the multiple contact types?  So I can target market accordingly, he may also be an INVESTOR.  Choose the contacts of your choice.
